Board Permissions

Board permissions dictate the viewing or editing ability that other users have on the board itself. Within each board, the board owner(s) has the ability to control what information can be changed or viewed by other board assignees. This is great for managers who want to keep specific components of a workflow process private, or public, depending on the board requirements. 
Each board allows for different roles of permissioning, namely:

  • Board owner

  • Board member

  • Board viewer

Of the three role types, board tasks can also be created by two other user types - users that are not part of the board at all, and users that submit work requests (requestors).  

In this article, we will define the various levels of permissioning and provide a chart detailing the access rights across each permissioning role.



Defining the different levels of permissioning 

Each board role has their own level of access to a board and its board tasks. When creating a board or editing the board details, the Board settings page will allow you to assign users at each level. 

  • Board owner - Board owners can manage the board settings; create sprints/kanbans/pipelines; create, delete and edit cards and manage the backlog.  

  • Board member - Board members have access to the board, can create and edit cards and manage the backlog. 

  • Board viewer - Board viewers have read only access to the board, cards and backlog.     



From a board (Kanban/Sprint)

On the agile boards (Kanban/Sprint), the board owners will set up the board according to the specific reporting requirements of the business. 

Each board has tasks that can be associated with board members and external users that assist with particular skill sets for outlined activities. 

IMPORTANT: As part of managing and controlling access to board data, board owners & members are the only roles that can edit/review/update tasks based on their status and key details for reporting.  External Users that are assigned tasks from the board will only be able to add updates from the comments section of a task.
