How to update Outlook meeting series with Send Update "Only added/removed attendees"

Question: How do I update my Outlook meeting series by sending the update only to the attendees or stakeholders that were added or removed?

Answer:
When updating a meeting series in Outlook, we generally recommend sending the update to all attendees to ensure everyone has the latest information and that the changes are updated in Fluid as well. However, if you only need to notify newly added or removed attendees, you can use Outlook’s “Send update to only added/removed attendees” option by following these steps:


Note: this option only applies to updating the entire meeting series and cannot be used to update single or individual sessions. Individual meeting occurrences/sessions can only be updated using the "Send To All" option.


  1. Open the meeting series in Outlook

    • Locate and open the original meeting invite for the series you wish to update.

      In Classic Outlook:


      In New Outlook:


  2. Make the necessary changes

    • Update the meeting details as needed—this can include adding new attendees, removing existing ones, or adjusting the time/date of the series.

  3. Include the Fluid meeting series email address

    • Copy the unique Fluid meeting series email address. This is the unique email address that can be found on the meeting dashboard in Fluid.

    • Paste it into the “Optional” field in the meeting invite.

      This allows Outlook to link the update to the correct meeting series in Fluid.

      Note: Outlook’s default behavior will remove the optional Fluid invitee each time the update is made, as such you will need to always add the Fluid series email address as an optional recipient each time you update the series when using the "only added/removed attendees" option.

  4. Send the update to selected attendees only

    • Once your changes are complete, click Send Update.

    • When prompted, select “Only added/removed attendees.”


      This ensures the update is sent only to attendees you have added or removed, without notifying all existing participants.

Once sent, the meeting series will be updated with your changes, and the affected attendees will receive an email notification of the update.
