A Collaborator licence is for the people who deliver the work - team members and contributors who work on boards, in meetings and workhubs, on actions and project tasks, and who record their time. Think of it as the equivalent of a work management licence, connected to your projects and portfolio.
Collaborators don't manage projects, portfolios, money or people - that is what a Licensed (full) licence is for. For how Collaborator compares with the other licence types, see Understanding Fluid Licences.
What Collaborators can and cannot do
Area | Collaborators can | Collaborators cannot |
|---|---|---|
Boards | Create boards, own and manage them, and work on boards they are members or viewers of - create and manage tasks, and update tasks assigned to them. | Create project pipeline boards. |
Meetings | Create meetings, be a meeting owner or facilitator, and take part in meetings they are members of. | - |
Workhubs | Create workhubs, own them, and work in workhubs they are members of - including their actions and decisions. | - |
Actions and decisions | Create actions, decisions and work requests, and update the ones assigned to them from My Items. Comment on any item they can access. | - |
Projects | Access the projects they are a team member or resource of, and update the items assigned to them - for example schedule tasks, actions, risks and issues. | Create projects, or be a project manager or project editor. Update project content other than the items assigned to them. |
Dashboards and reporting | View project health dashboards and reports for the projects they are a member of. | Access financial or resourcing dashboards, see health reports for projects they are not a member of, or create new dashboards. |
Financials, resourcing and benefits | - | See project financials, resourcing or benefits. |
Timesheets | Submit timesheets. | Approve timesheets or manage resources. |
Delivery Teams | Be a member of a Delivery Team. | Own or manage a Delivery Team. |
Administration | - | Configure or administer Fluid. |
All access is still subject to the Collaborator's permissions on individual projects, boards, meetings and workhubs.
Roles
A Collaborator can only hold the User, Project access and Timesheet Exempt roles. When you change someone to Collaborator, Fluid removes any other roles they had, and other roles cannot be added while they remain a Collaborator. This is what keeps financials, resourcing, benefits and project creation out of reach.
Project access lets them open the projects they are a member of.
Timesheet Exempt means they do not record time. Leave it off for Collaborators who need to submit timesheets.
